Business Information, Privacy and Data Sharing Policy
Relevant information, legitimate purposes, responsible sharing.
Last updated: October 2026, version 1.0
This policy applies to everyone taking part in the London Business Awards, its events, networking and related business services. It adds to our Privacy Policy.
01Purpose and scope
The London Business Awards recognises professional excellence, encourages meaningful connections and offers relevant business opportunities. To do this we process business and professional information, and work with authorised group companies, associated businesses, event organisers, sales representatives, consultants, strategic partners and service providers.
This policy explains the information involved, why we use it and when it may be shared. Please read it with our Privacy Policy, which sets out the data controller, lawful bases, recipients, retention, international transfers and your rights.

05Business interests and services you ask for
This may include your networking interests, introductions you ask for, event, sponsorship or exhibition enquiries, business support you ask for, and professional or business goals you choose to tell us. We aim to collect only what is reasonably necessary for each purpose.
06Business information for business purposes
Please do not give us unnecessary private or sensitive personal information. Business information should be relevant to professional recognition, running the awards, legitimate business communication or services you ask for.
A named business email address, professional mobile number or job title can still identify a person and remains protected personal data. Calling information business related does not remove our duties under UK GDPR. Where unnecessary private or sensitive information is given to us, we may ask for it to be corrected or removed and limit its further use.
07Why we use your information
With an appropriate lawful basis, we may use relevant information to:
- Run nominations and check eligibility
- Manage award categories and judging
- Tell you about your nomination's progress and important deadlines
- Help you complete your profile and manage your account
- Organise the awards ceremony and associated activities
- Provide support and the services you ask for
- Arrange professional introductions, networking and matchmaking you ask for
- Manage event bookings, payments and our contractual obligations
- Keep records accurate and secure, and meet our legal obligations
- Offer optional professional and business opportunities where the law allows
08Our lawful bases
Different purposes rely on different lawful bases, including performing a contract, our legitimate interests, legal obligations, or your consent where it is needed. Our Privacy Policy sets these out.
09Who we work with
To give you a joined up business to business experience, we may work with:
- Sister concerns and group companies: for running the awards, support and related business services
- Associated and partner event organisers: for coordinating nominations, running the awards and delivering events
- Authorised sales teams and consultants: for answering enquiries, supporting bookings and explaining services you ask about
- Strategic and business partners: for introductions, matchmaking and collaborations you ask for
- Suppliers and contractors: for technology, our customer records system, event operations, hospitality, photography, video, payment processing and other contracted services
- Professional service providers: for business support, training, advice or other services you ask for
10Sharing business and professional information
Where appropriate, necessary and allowed by law, we may share relevant business and professional information with authorised organisations and people: for example names and job titles, business details and contact information, relevant nomination and participation information, and the business interests and services you have asked about.
We look at the purpose, the need, the lawful basis and the recipient before sharing information that identifies a person. Information is never shared just because an organisation is described as a partner, sister concern or group company.
11Partner marketing
Confirming a nomination does not give independent third parties permission to market their own products or services to you. Where a partner wants to use your contact details for its own marketing, this must meet data protection and electronic marketing law, which may need further information, a lawful basis and your specific consent. Accepting this policy is never treated as consent to marketing from every associated company, supplier or partner.
12Business matchmaking and introductions
Where you ask for or agree to a business introduction, networking opportunity or matchmaking, relevant professional information may be shared with the right people to make it happen. We share only what makes the introduction useful, and taking part is always optional.
13Confidentiality, security and access
We use appropriate organisational and technical measures to protect personal information, including:
- Access to nomination and customer records by role
- Confidentiality obligations
- Contracts with processors and service providers
- Access controls and authentication
- Monitoring of authorised sharing
- Procedures for correction, deletion and responding to incidents
- Safeguards for any international transfers
14Public profiles and media
Approved professional information may be published to recognise participants and publicise the awards. Private contact details are never made public just because a nomination has been made or confirmed. Profiles, photographs and videos are published only after our approval process and any further permissions needed.
15How long we keep information
We keep information only as long as needed for its lawful purposes. Periods differ for nomination records, account information, transaction records, judging records, marketing preferences and legal requirements, as our Privacy Policy explains.
16Your rights
Where they apply, you can ask us to:
- Give you a copy of your personal information
- Correct inaccurate information
- Erase information where you are entitled to
- Restrict how we use it
- Give you your information in a portable form
- Review any automated decision
- Stop relying on your consent, where we rely on it
- Stop using it for our legitimate interests or for direct marketing
17Raising a concern
You can also raise a concern with the UK Information Commissioner's Office.

19Severability and continuing enforceability
If any clause, provision, statement, term or part of this Business Information, Privacy and Data Sharing Policy is found by a court of competent jurisdiction or another authorised regulatory or judicial authority to be invalid, unlawful, unenforceable or contrary to applicable law, that finding applies only to the clause, provision or part affected.
The remaining clauses, provisions and terms of this Business Information, Privacy and Data Sharing Policy remain valid, binding and enforceable to the fullest extent permitted by applicable law, and continue in full force and effect.
Where the law allows, any invalid or unenforceable provision will be interpreted or limited to the minimum extent necessary to make it lawful and enforceable, while keeping, as far as reasonably possible, its original purpose and commercial intent.
The invalidity or unenforceability of any individual provision does not automatically invalidate or affect the enforceability of this Business Information, Privacy and Data Sharing Policy as a whole, provided the remaining provisions can continue to operate lawfully and independently.
Nothing in this clause excludes, restricts or overrides any statutory rights, consumer protections or other mandatory legal requirements under the laws of England and Wales.
20Our commitment
Collaboration creates better experiences and stronger business opportunities. We use our business network responsibly to connect you with the right services, relationships and opportunities, while protecting your information and respecting your choices.
